Facility Manager/ Administration Manager (m/f)

Responsibilities:

  • Main point of contact for all office facilities – liaise with building management
  • Coordinate and arrange for company moves to other office locations
  • Manage and keep track of seating structure changes within the office, and communicate with related internal stakeholders to ensure smooth operations.
  • In charge of all office renovations, and its related rental rates/insurance sourcing & negotiating
  • Monitor and closely track department's budget. 
  • Independently handling keys and access card maintenance for company apartment guests and office staff.
  • Responsible of external Vendor/ Contractor communication and management relations
  • Taking care of all company apartment matters, such as sourcing of apartment, negotiating and signing of contract, maintenance and repairs, air condition servicing, orders of bathroom and kitchen supplies, cleaning arrangements, monitoring of rooms availability, as well as taking care of key handover and check out for guest.  
  • Support the team as a reception back up, when needed.
  • Assist organizing and supervising company events.
  • Help to coordinate local hotel room and serviced apartment bookings

Requirements:

  • Minimum GCE 'O' Level. Holding a Degree in Office Administration, Hospitality, or related field is advantageous
  • Should ideally have minimum 2 years of relevant working experience
  • Excellent time management skills to meet deadlines
  • Strong communication skills internal and external stakeholders
  • Good Microsoft Office knowledge
  • Comfortable in working in a diverse and international bottom-up work environment
  • Ability to develop and maintain good working and customer / client relationships
  • Fluency in spoken and written English, Mandarin Chinese is an added advantage
