Administration Manager (m/f)




  • Manage and oversee Reception, Events, Facilities and Travel desk 
  • Ensure transparency in work processes and procedures, maintain company policy
  • Main point of contact for all office facilities, liaise and coordinate with building management
  • Coordinate moving within the office
  • Overall responsibility for office facilities, logistics, equipment and storage.
  • Manage ad hoc projects
  • Coordinating between departments and operating units in resolving day-to-day administrative problems
  • Responsible for procurement and maintenance of office supplies
  • Managing pantry ladies
  • Maintenance and point of contact for Company’s apartment.
  • Record Maintenance of organization’s mobile phones and phone list.
  • Vendor / Contractor Management
  • Reporting & Costs Analysis
  • Office renovation(s), office rental rates negotiation/ sourcing, etc.
  • Administrative support to Managing Director 



  • Ability to work in a motivated, self-driven and independent way
  • Executing tasks in an efficient and accurate manner / meeting deadlines
  • Well-organized, reliable, and loyal
  • Self-confident and open-minded working in a very diverse, bottom-up and international work environment
  • Ability to take ownership and responsibility for various administrative tasks within the department
  • Good skills in Microsoft Office programmes, e.g. Excel, Powerpoint and Word
  • Fluency in English
